Project Administration Officer
We have a fantastic opportunity for a highly organised and experienced administrative professional with an impeccable attention to detail to join our expanding team here at N-Gen UK, based at our Thorpe Park, Leeds office.
The successful applicant will be the key ‘go-to’ person for the project delivery team, its partners, and internal/external stakeholders. You will be responsible for ensuring critical business documentation and records are kept up to date, stored securely in an easily accessible and logical structure. You will be responsible for overseeing the day-to-day operations of the office, including scheduling meetings and appointments, taking minutes, preparing reports, presentations, and other documents for a variety of projects.

Key responsibilities:
- Manage the business’s administrative function.
- Support our wider business support functions including commercial, procurement, human resources etc.
- Create and maintain electronic and manual project documentation database systems, storing, retrieving, and issuing of key information as requested by the members of the project team and its partners and contractors.
- Carrying out audits on key documentation.
- Welcome and assist visitors, booking appointments and arranging visitor passes to our offices.
- Arrange meetings, workshops and conferences with internal/external project partners and stakeholders.
- Produce meeting agendas, minutes, action trackers, and reports ensuring actions are followed up and closed out.
- Raise and receipt purchase requisitions and orders.
- Production of a range of communication documents to both internal and external stakeholders including detailed reports and presentations.
- Handle internal/external customer/stakeholder enquiries.
- Arrange travel, accommodation, and the booking of venues both within the UK and Internationally.
- Arranging training for the project delivery and business development teams.
- Maintaining office supplies, ordering PPE and other consumables.
Skills and experience required:
- Project Document control qualification (desired)
- Experience of working in a Project Co-ordination role.
- Track record of working in a busy and multi-disciplinary environment.
- Proficient in use of IT systems, including MSOffice, SAP etc.
- Strong interpersonal skills with the ability to work effectively within a team environment.
- Strong communicator, confident in dealing with clients, project partners and stakeholders.
- Good written communication skills and experience in capturing meeting minutes and actions.
- Solid organisational skills including attention to detail, prioritising workload, meeting deadlines and multi-tasking skills.
- Ability to meet challenging deadlines and prioritise tasks efficiently.
- Knowledge of the challenges of climate change and decarbonisation (desirable)
- Work flexibly to meet the needs of the role including occasional travel to other locations within the UK.
- Driving licence preferable but not essential.
- Right to work in the UK.
